Before
The situation
- Website sales ran on WordPress and WooCommerce, while bulk invoices were kept in Zoho Books.
- Daily production, quality checks and weekly finance used separate report templates and spreadsheets.
- Large bulk orders with part payments were hard to follow through to the final balance.
- Raw material market lists were approved and checked against actual prices by hand.
What we built
One system for the whole operation
- 01An online shop with Paystack checkout, VAT on every order and order confirmation emails.
- 02Bulk order capture with negotiated prices, part payments, holds and a clear balance owed.
- 03Production records that create batch codes in the company's own format and update finished stock.
- 04A production schedule that reserves capacity, so each customer gets a realistic delivery date.
- 05Raw material market lists with approval, actual prices and a check of planned against actual cartons produced.
- 06Distributor routing that records the payout and the profit on each order, with payouts held for approval.
- 07Finance views for operating costs, cost of goods and capital spend, plus a weekly report and a daily email summary.
- 08Feedback requests sent a day after delivery, with bad feedback flagged to the owner.
Where AI does the work
A sales assistant and a business analyst are built to answer only from the app's own prices, stock and records, but neither is switched on yet.
