Before
The situation
- The owner needed a clear link between cassava received and bags of garri produced.
- Customer deposits had to be kept apart from completed sales.
- Cash received needed to be traced to the bank, and real profit needed to be visible.
- Payroll, tax records and staff access to financial data needed proper control.
What we built
One system for the whole operation
- 01Cassava intake with approval, which records the matching expense automatically.
- 02Production batches that add finished stock only after approval.
- 03Bookings with 7.5% VAT and delivery zone fees, using prices from the price list only.
- 04Sales that complete only when fully paid and picked up or delivered, with no credit sales and no selling stock that is not there.
- 05Five money accounts kept as a double-entry ledger, with bank reconciliation, approved fund transfers and expense limits by role.
- 06Payroll with payslips and PAYE, plus attendance for permanent and casual staff.
- 07An audit log of every change, and role-based access that hides payroll, profit and bank records from staff who should not see them.
- 08A public website with live prices and online ordering that reserves stock once an order is paid.
